The mis-labeling on the sample report was due to a sample submission error by the person dropping off the sample at our
office. 2/18 & 3/26 samples were both accidentally auto-populated by the sample submitter to previous sample data from
when they were required to do monthly source assessment monitoring, and we were collecting their monthly routine
distribution sample. So they were only bringing in samples that were for source assessment at the time, so for
convenience we created an auto-populate option for them.
The system somewhat recently started collecting their own monthly routine distribution samples, and the person dropping
off samples was unaware of the need to change their sampling details from previous source assessment monitoring
labelling.
I’ve discussed the importance of accurate sample submission with Randy, that whoever submits the sample to us has the
responsibility to ensure that everything they submit is accurate for that sample, even if they auto-populate some
information, they need to edit it to be accurate for what they dropped off.
Just to be extra safe in March, Randy brought in an additional “last day of the month” routine distribution sample.
So in actuality, I can confirm that the system did in fact submit water from the distribution system on 2/18, 3/26, 3/31 and
4/1, all of which came back clean. In waterlink, the 2 source assessment samples (one in February and one in March)
should both be distribution samples, the source was not sampled routinely at all.
Sorry for the confusion, we have so many systems struggle to label samples correctly. So we create auto-populate
options to help, but they need to understand their responsibility to edit those if they are not accurate.
